Kroschke: The Starting Point
Kroschke already had Atlassian's Jira Service Management in place. However, it was only used to a limited extent for project management – and there was no suitable knowledge management solution such as Confluence. What was lacking was a strategic concept and configurations that could be used effectively beyond the IT department.
The goal of the project was to implement Jira and Confluence Cloud using an agile approach, configuring the solutions in line with day-to-day requirements. In collaboration with Kroschke's IT team, dotSource evaluated how the tools should be used, which configurations to set up and which best practices from other projects could be adopted.
The focus was not only on handling the technical implementation, but also on building a future-proof framework: Ticket types, permission schemes, templates and board structures had to be defined so that Kroschke would be able to make efficient use of Jira and Confluence in the long term – both internally and externally.
dotSource was responsible for implementing the following project components:
- Optimisation and structuring of Jira through new boards, workflows and ticket templates
- Development of a scalable permission scheme for Jira and Confluence
- Consulting on best practices for space structures, templates and integrations in Confluence

Project Successes
Greater Transparency in Day-to-Day Project Work
With precisely configured Jira boards, Kroschke has established a solid foundation for transparent collaboration. Instead of to-do lists or fragmented communication streams, tasks are now handled via clearly defined workflows and broken down by responsibility, for example IT, project management or other stakeholders. As a result, everyone involved can immediately see the status of ongoing work, where issues arise and which tickets need to be prioritised. Not only does this agile way of working increase efficiency, but it also improves coordination between technical and non-technical teams.
Secure Structures with the Future in Mind
Together with Kroschke's IT team, dotSource has developed a scalable permission scheme for Jira and Confluence that is built to last. It not only covers current requirements, but also outlines future access rights – across internal and external stakeholders. The defined roles and permissions ensure a high level of data security and reduce administrative effort. Moreover, the set-up can be flexibly expanded, for example when new projects start or additional partners come on board.
